Terms of Service
Last updated 26 October 2026
These terms apply when a school registers for and uses Schoolly.online. By registering a school, or by using an account a school has created for you, you agree to them.
1. The service
Schoolly.online is a school-management platform covering attendance, scores and report cards, fees, communication, staff records and related tools. Features may change as the product develops. Some features, such as online payments, SMS and the AI assistant, depend on third-party providers and on the school completing their set-up.
2. Registration and approval
The person registering must be authorised to act for the school and must give accurate information. New schools are reviewed and may be approved, declined or suspended by Schoolly. The founding director is responsible for the accounts they create and for the roles they assign.
3. Accounts and security
- Keep your password confidential and never share an account.
- Tell your administrator at once if you think an account has been misused.
- Schools are responsible for the actions of the staff, parents and students they add.
4. The school’s data and responsibilities
The school owns the information it enters and remains responsible for having a lawful basis, including any parental consent, to record it. Schoolly processes that information on the school’s behalf as described in our Privacy Notice. Schools must check that scores, fees, attendance and payroll entered or generated through the platform are correct before relying on them.
5. Acceptable use
You agree not to:
- break the law or infringe anyone’s rights through the service;
- try to access another school’s data, or probe, disrupt or overload the platform;
- upload malicious code or unlawful, abusive or harmful content;
- use the AI assistant to enter students’ personal details or to produce content that is unlawful or harmful.
6. Payments and messaging
Online fee payments are processed by the payment provider the school has chosen and are subject to that provider’s terms. SMS and AI usage may be limited by plan or prepaid balance. Fees for Schoolly plans, where they apply, will be shown before you are charged.
7. Availability and support
We work to keep the service available and to protect your data, but we do not promise it will be uninterrupted or error-free. We may carry out maintenance and may suspend access to protect the platform or other users.
8. Liability
To the extent the law permits, Schoolly is not liable for indirect or consequential loss, or for loss caused by matters outside our reasonable control such as network or third-party provider failures. Nothing in these terms limits liability that cannot lawfully be limited.
9. Ending the agreement
A school may stop using Schoolly and ask for its account to be deleted at any time. We may suspend or end access for serious or repeated breach of these terms. On deletion, data is handled as described in the Privacy Notice.
10. Student Records, Retention and Deletion
This section explains what happens to a student’s educational records when the student leaves the school, and who decides.
- The records are the school’s. The school decides what happens to its students’ records. Schoolly stores and processes them on the school’s behalf and does not decide this for the school.
- When a student leaves. A student who graduates, withdraws or transfers stops counting as an active student and leaves day-to-day school use. Past results, report cards and other history are not changed.
- The records package. For each student who has left, the school can download a ZIP file with the enrolment form, biodata, class progression, finalised report cards, results, computer-based test results, attendance, a transcript, and a list of what is included and what is missing. We include only what was actually recorded. We do not create records that do not exist.
- Three choices. For each student who has left, the Director or Principal can choose Retain & Archive, Download & Delete, or Decide Later.
- Retain & Archive. The records are kept safely and can be viewed, but are no longer part of day-to-day school use or of the active-student count used for the school’s subscription. Any archive fee will be shown to the school before it is charged.
- Download & Delete. The school first downloads the records package. The Director then confirms the deletion. After a short waiting period, during which the school can cancel, the student’s educational records and files are deleted from the live system. Only the student’s name, admission number, status and the date they left are kept, so that fee history and receipts still make sense. Fee and payment records stay with the school’s accounts. Deletion cannot be undone, and we cannot restore deleted records.
- Decide Later. The school has 30 days, unless the school has set a different period between 7 and 180 days, to choose. We send reminders before the period ends. If no choice is made, the records are archived as under Retain & Archive. We never delete a student’s records automatically.
- Backups. Deleted records are removed from the live system first. Copies held in routine backups are removed when those backups expire, not immediately.
- The school’s legal duties. The school is responsible for knowing how long it must keep student records under Nigerian law, including data-protection law, and under its own policies. Schoolly does not set that period for the school. Before choosing deletion, the school should be sure it no longer needs the records and has kept its downloaded copy safely.
- Changes. If we change this section, we will show the new date at the top of these terms, and a change will not delete any records without the school’s own choice.
11. Changes and governing law
We may update these terms and will show the date at the top; continued use after a change means you accept it. These terms are governed by the laws of the Federal Republic of Nigeria.
